1. Introduction & Overview
TrackChain is an enterprise sales force automation, inventory distribution, and warranty management platform designed for manufacturers, authorized distributors, field sales representatives, and retail partners.
This Privacy Policy applies to the TrackChain Android application, iOS application, web dashboards, and related cloud services. By downloading, registering, or using TrackChain, you acknowledge that you have read and agree to the terms described in this policy.
2. Information We Collect
A. Account & Contact Information
When you are onboarded or register, we collect your full name, mobile phone number, email address, assigned role (Salesman, Retailer, Supervisor, or Admin), and tenant organization identifier.
B. Location Data (Foreground & Background)
To provide automated route management, calculate accurate travel mileage, and confirm physical shop visits, the application requests access to your device’s precise GPS location. Background location tracking is activated only during an active travel session that the salesman initiates, and stops immediately when the session ends. Location pings are stored securely and are only visible to your authorized employer or organization.
C. Camera & Photo Files
The app accesses your camera to scan serialized QR codes on product packaging for warranty activation, inventory checks, and odometer readings. When submitting warranty claims for defective products, you may upload photos of damaged units.
D. Commercial & Operational Records
We store operational transactions created in the system, including orders, invoices, payment receipts, store stock audits, and warranty registrations.
E. Device & Diagnostic Data
We automatically capture device model, operating system version, app version, IP address, and crash reports to maintain platform stability and detect fraudulent activities.
3. How We Use Collected Information
- Operational Delivery: To process sales orders, schedule delivery routes, and fulfill defective unit replacements.
- Field Activity Validation: To verify shop visits, compute travel allowances, and confirm attendance logs for your employer.
- Warranty Lifecycle: To validate genuine serial numbers, register customer warranties, and prevent counterfeit claims.
- Fraud Prevention: To detect GPS spoofing, duplicate QR scans, or out-of-sequence activity.
- Support & Communications: To provide critical security alerts, password resets, and customer support.
4. Data Sharing & Third-Party Processors
We do not sell, rent, or trade your personal data. Data is shared only under the following strict conditions:
- Your Organization: Your operational logs, routes, and orders are visible to designated administrators within your assigned tenant organization.
- Infrastructure Providers: We use secure enterprise cloud infrastructure (PostgreSQL database providers, Cloudflare R2 for object storage, and transactional email providers) under strict confidentiality agreements.
- Legal Requirements: If mandated by applicable law, court order, or governmental regulations.
5. Data Security & Storage
We employ industry-standard administrative, technical, and physical safeguards:
- End-to-end TLS/HTTPS encryption for all data in transit.
- Strong salted hashing (scrypt) for credentials.
- Multi-tenant logical database isolation.
- Session token expiration and instant revocation mechanisms.
6. Data Retention & Account Deletion Policy
In accordance with Google Play Store Developer Guidelines, we provide all users with the right to request deletion of their account and associated personal data:
How to request account and data deletion:
You may submit an account deletion request by sending an email from your registered address to support@trackchain.app with the subject line Account and Data Deletion Request. Include your registered mobile number and full name.

7. Children’s Privacy
TrackChain is strictly an enterprise business-to-business application and is not intended for use by anyone under the age of 18. We do not knowingly collect personal data from minors.
8. Changes to This Privacy Policy
